1) Who we are

GradeUp is an online maths self-learning platform providing curriculum-aligned practice and exam preparation tools. This Privacy Policy explains how we collect, use, share, and protect personal information when you use our website and services.

2) The information we collect

We collect and process the following categories of information:

  • Account & contact details: parent/guardian name, email, phone number; learner first name and grade.
  • Purchase & billing data: order ID, products purchased, payment status. Card details are not stored by us; payments are processed securely by PayFast. GradeUp
  • Learning activity data: items viewed, attempts, scores, time on tasks, completion status, device & interaction logs needed to provide instant marking and progress reports.
  • Technical data: IP address, device and browser type, cookies, and diagnostic logs.
  • Communications: messages sent via our forms, email, WhatsApp, or other channels.

3) How we collect data

  • Directly from you when you register, buy, or contact us.
  • Automatically via cookies, pixels, and similar technologies when you browse or use our platform.
  • From service providers supporting our site (e.g., hosting, analytics, payment, email).

4) Why we process your information (POPIA lawful bases)

Under the Protection of Personal Information Act (POPIA), we process personal information only when lawful, including:

  • Consent (e.g., marketing opt-in);
  • Contract performance (to create accounts, deliver access, and support you);
  • Legal obligations (e.g., tax and accounting);

5) Children’s information

Our platform is used by learners, but accounts and purchases are managed by parents/guardians. We process a child’s personal information with parental/guardian consent and only for educational purposes on the platform. POPIA treats anyone under 18 as a child, and children’s data has additional protections. If we learn we collected a child’s data without appropriate consent, we will delete it. 6) Cookies, analytics & pixels

We use cookies and similar technologies to operate the site, keep you signed in, remember preferences, measure usage, and improve performance.

7) Payments

8) How we use your information

  • To provide, personalise, and improve the GradeUp platform and its features (e.g., interactive worksheets, timed exams, video memos, and parent progress reports).
  • To create and manage accounts, authenticate users, deliver purchases, and provide support.
  • To send essential service communications (e.g., receipts, access details, progress emails).
  • To maintain security, prevent misuse/fraud, troubleshoot, and generate usage insights.
  • If you opt in, to send marketing communications you can unsubscribe from at any time.

9) Sharing your information

We may share limited personal information with trusted service providers who process it on our behalf under contracts that require confidentiality and appropriate security. Typical categories include: hosting/CDN, customer support tools, email & report delivery, analytics & measurement, payment processing (e.g., PayFast), and security/anti-fraud. We may also share information where required by law, to protect our rights, or in connection with a business transaction.

10) International transfers

Some service providers may process data in other countries. Where applicable, we implement appropriate safeguards consistent with POPIA to protect your information during cross-border transfers.

11) Data retention

We retain personal information only for as long as necessary to:

  • deliver the services and maintain your account,
  • comply with legal, tax, and accounting requirements,
  • resolve disputes and enforce agreements.
    When no longer needed, we securely delete or anonymise the information.

12) Your rights (POPIA)

Subject to conditions and applicable law, you may:

  • Access your personal information;
  • Request correction or deletion;
  • Object to certain processing;
  • Withdraw consent where processing relies on consent (this will not affect processing already done);

13) Security

We use appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse, or alteration. No method of transmission or storage is 100% secure; we continually improve our safeguards.

If you opt in, we may send you news about features, products, and offers. You can opt out at any time via the unsubscribe link in emails or by contacting us.

15) WhatsApp and other messaging

If you contact us via WhatsApp or similar channels, we will use the information you provide to respond to your query and support your use of our services, consistent with this Policy.
